Privacy policy

What we collect, how the initial service uses it, and how your organization can request access or deletion.

Public sources, nonsensitive meetings and handbooks, and routine administration. Student records and confidential casework stay out.

Visible processing

Original meeting audio goes to transcription; text and source excerpts go to the AI providers used for your task.

Verified owners can request export or deletion. Retained records are not automatically purged.

1. This policy and our initial service

SCHOOL TECH PARTNER LLC, doing business as School Tech Partner (“STP,” “we,” or “us”), provides a website, organization portal, tools, and related support for authorized adult users at districts, charter schools, private schools, and other organizations. This policy describes the information handled through those services.

Our initial service covers authorized public board and policy materials, nonsensitive general meeting audio and handbooks, public vendor research, public website checks, general calendars and templates, and routine administrative action and renewal information. Accounts, billing, support messages, meeting participants, and administrative entries can still contain personal information. Public availability does not by itself make every record appropriate to submit.

Do not submit student-specific records, personnel cases, health information, closed or executive-session material, passwords, payment-card details, confidential security evidence, or other protected information. Hearing transcription, the Records Request Assistant, survey intake, and detailed cybersecurity assessment submissions are unavailable for new work in this release. See Data & trust for examples.

2. Information we handle

  • Account and organization information: names, email addresses, organization details, user roles, invitations, sign-in identifiers, accepted document versions, and account activity.
  • Submitted materials and outputs: permitted public recording links and audio obtained from them, uploaded nonsensitive general meeting audio, agendas, adult participant names, transcripts, generated drafts, authorized handbook and procedure documents and extracted text, public policy and vendor materials, questions, and the reports you request.
  • Administrative entries: work contacts, action descriptions, owners, due dates, vendor names, license counts, renewal and cancellation dates, and routine budget amounts you choose to enter. These entries must not include confidential contract attachments or sensitive case details.
  • Service, support, and billing records: messages you send us, selected plans, usage and processing status, subscription or invoice references, billing contacts, tax information where needed, and payment status.
  • Technical and public-source information: IP addresses, browser or device information, request and error logs, public school websites, public policy manuals, and public technical records used for requested checks.

We may also retain records created in earlier service versions. Disabling a feature does not automatically delete its existing records or make them publicly accessible.

3. How we use and share information

We use information to authenticate users, manage organization access, provide requested tools and outputs, track usage, support customers, administer billing, maintain and secure the service, investigate problems, and meet applicable legal obligations. Authorized organization users can access information according to their roles. STP administrators may access it when needed for these purposes.

We do not sell customer content, use it for targeted advertising, or publish nonpublic organization entries as marketing material. STP does not operate a model-training program using customer content. AI providers process submitted information under their applicable service terms and account settings; we do not promise identical training or retention rules across every provider.

We share information with the providers described below as needed for their functions. We may also disclose information when required by law, to respond to a valid legal request, or to address fraud or a security incident. Where permitted, we coordinate requests for organization records with the organization.

4. Audio and AI processing

Board and general meeting recordings: the tools service obtains audio from a submitted public board meeting source or receives your uploaded general meeting audio. ElevenLabs receives the original audio for transcription. Anthropic receives transcript text, the agenda, and relevant meeting context to create a minutes draft. The recording is not anonymized before transcription.

Handbooks: uploaded documents are processed in the tools service to extract text for your review. When handbook publishing is available and you choose to publish, Voyage AI receives the document text for search embeddings. Handbook questions are sent to Voyage AI for retrieval and to Anthropic with relevant source excerpts for an answer. Publishing a handbook makes it available to authorized users in your Organization, not to the general public.

Public research: Anthropic may receive public policy or vendor material, questions, source excerpts, and context needed to produce a requested answer or report. Public policy search uses Voyage AI, or OpenAI when configured as the alternative embedding provider, to process policy text and search queries.

Keep general recordings to routine staff, committee, or administrative discussion. Use only public or nonsensitive operational handbooks and procedures you are authorized to share. Intake notices and acknowledgments explain these restrictions; they are not a guarantee that a file is free of sensitive information. Do not put student or personnel case details into questions. Review materials before submitting them, and review generated outputs against the original sources before sharing or relying on them.

We do not provide a provider-wide zero-retention guarantee or promise that deleting an STP copy immediately removes provider logs or backups.

5. Service providers

The information each provider receives depends on the feature used. External websites and account services also have their own privacy policies.

StripeBilling when enabled; customer, invoice, subscription, tax, and payment information. Payment-card details are entered with Stripe; STP does not store full card numbers.

Provider processing may occur in the United States or other locations under the provider's arrangements. This policy does not promise a particular storage or processing region.

6. Cookies and browser storage

This release uses cookies and similar browser storage for sign-in, security, and preferences such as the display theme. Disabling essential cookies can prevent account features from working.

We do not load marketing analytics scripts in this release. Earlier website versions loaded Google Analytics; removing that script does not itself erase information already held by that provider. Contact us with questions about earlier visits. Linked services, such as Google sign-in, Stripe, Cal.com, and LinkedIn, control their own websites and browser storage.

7. Retention, export, and deletion

There is currently no automatic age-based purge of retained organization recordings, transcripts, or generated documents. Records remain in service storage until removed through a verified deletion request or another agreed process. Canceling a plan or pausing a tool does not automatically delete records, although plan changes can affect account access. This does not guarantee preservation of every temporary file or working version.

Organization owners can request an export or deletion by contacting privacy@schooltechpartner.com. We verify identity and authority, confirm the records and systems involved, and handle the request manually. A request does not immediately delete data. Tell us about applicable organization retention requirements and legal holds when making the request.

We respond to verified requests as applicable law and any signed agreement require. Some billing, security, or request-handling records may be retained for a separate lawful purpose. Provider logs and backups may follow different schedules. We explain the completed scope and any retained exceptions when closing a request.

Keep official records in your organization's approved recordkeeping system. STP is not a substitute for that system or a promise of indefinite archival storage.

8. Privacy requests and security concerns

Contact privacy@schooltechpartner.com to request access, correction, export, or deletion, or to report a privacy or security concern. Include your organization, role, and the type of request. Do not attach sensitive records or passwords to the initial email; we will coordinate the details.

If sensitive information was submitted accidentally, stop further processing and notify us promptly with the job or record identifier. We will assess access, any processing already performed, and the appropriate removal or follow-up steps. Our content restrictions do not eliminate our responsibility to address information actually received.

Accounts are for authorized adults. Student accounts and direct student submissions are outside this service. Parents, students, or staff seeking school records should also contact the relevant school; we coordinate with its authorized representative when handling organization records. This does not limit rights available under applicable law.

We use authenticated access, organization access checks, and secure web connections to help protect information. No service guarantees perfect security. If a security incident affects personal or organization information, we respond and provide notices as applicable law and any signed agreement require.

9. Policy changes and contact

We publish changes here with an updated version and effective date. We provide prominent notice of material changes through the service and use an appropriate direct notice when a change to information handling requires it. Where applicable law requires advance notice or consent, we provide it before the change takes effect. Updating this page does not override a signed organization agreement.
